Privacy Policy
This policy explains how Phantom Ops (Pty) Ltd ("Phantom Ops", "we", "I") collects, uses and protects your personal information, in line with South Africa's Protection of Personal Information Act (POPIA).
Who we are

- Registered Information Officer: Teeanu John Thomas (Information Regulator Reg. 2026-061581)
- Location: Johannesburg, South Africa

What we collect
When you use the audit form, the newsletter form, or email or message us, we collect the personal information you choose to give us:
- Your name
- Your business name
- Your email address
- Your WhatsApp or phone number
- Anything you tell us about your business or enquiry
Why we collect it
We use this information only to respond to your enquiry, prepare and deliver your AI Opportunity Audit, arrange a consultation, and provide the services you ask for. If you subscribe to the monthly AI brief, we use your email address to send you that brief. We do not sell your information, and we do not use it for unrelated marketing without your consent.
How long we keep it
We keep enquiry details only as long as needed to respond and, where we work together, for the duration of our engagement plus any period required by law. Newsletter subscriptions are kept until you unsubscribe. You can ask us to delete your information at any time.
Who we share it with
We share personal information only with trusted service providers that help us operate — for example email, hosting and scheduling providers — and only as far as needed. Where a provider processes personal information on our behalf, that relationship is governed by a written agreement as POPIA requires.
Where AI tools are used in a client project, we agree with you in advance what data may be processed, and we favour business-tier tools that do not train on your data. Some of these providers process data outside South Africa; where that happens, we do so on a basis permitted by POPIA.
How we protect it
We apply reasonable technical and organisational safeguards, keep sensitive information out of AI prompts unless specifically agreed, limit who can access your data, and collect the minimum needed for the purpose.
Analytics
We use Plausible Analytics to understand how the site is used. Plausible is privacy-focused: it does not use cookies and does not collect personally identifiable information. We see aggregate figures such as page views and referral sources, not individual visitors.
Your rights under POPIA
You have the right to ask what personal information we hold about you, to ask us to correct or delete it, and to object to certain processing. To exercise any of these, email aiphantomops@gmail.com.
If you believe we have not handled your information properly, you may lodge a complaint with the Information Regulator (South Africa).
Phantom Ops is a registered Information Officer with South Africa's Information Regulator. If you have a question about how your information is handled — as a client, a visitor, or someone whose data appears in a project we work on — you can raise it directly with us using the contact details above.
Changes
We may update this policy from time to time. The latest version will always be published on this page, with the date it was last updated shown at the top.
